On occasions, depending on the event or event organisers, participants may have to defer their entry. Participants will receive an email informing them that the event organiser will contact them to allow them to claim their place.

Deferred entries are taken out of the race. The Primo Events admin system keeps a list of deferred entries within the system which can be exported by event organisers. Organisers can use this information in a variety of ways:

  • They can email a discount code to participants who have deferred their entry this year and offer them a discount on next year’s event if they sign up, for example, free entry or 50% off

  • They can export a list of deferred entries which they can keep as a list of prospects to contact for next year’s race

  • They can import the list of deferred entries from the previous year, speeding up the process once the new event is set up.

But…why not just import the deferred registrations from last year automatically? – Not everyone may want to sign up for next year’s event, or may not be able to participate!

Exporting Deferred Entries (from this year's event)

  1. Go to the 'Manage' section

  2. Then 'Import Registration' in the submenu

  3. Select 'Deferred' under the 'Filter by status' drop-down box and click on ‘Search’.

  4. A list of deferred entries will then appear.

  5. Click on the ‘Export’ button to export in Excel format. These deferred entries can be stored and kept by the event organiser to go into next year's race.

Importing Deferred Entries (into next year’s event)
You can also import/upload registrations using the 'import' tool to import the deferred registrations into next year's race. This is done by

  1. Go to the 'Manage' section

  2. Then 'Import Registration' in the submenu

  3. Download the template in the form of an Excel document and fill it out accordingly under the headings.

  4. Save your Excel spreadsheet on your computer.

  5. You can then import/upload to the system for next year's event by selecting which event you would like the entries to link to, uploading your Excel file and clicking on ‘Import’.
